Advertising for an Academic position

The Advertising Request form (PERS 932) is designed to reflect the recruitment needs of the requesting department and to meet the requirements of the Office of the Provost and the Office for Diversity and Affirmative Action (O.D.A.A). Please note the following:

PRIOR TO COMPLETING THIS FORM

To avoid unnecessary delay, the requesting department must have a position number, a job class number and a job class title. Allow a minimum of seven working days for processing this form in order to meet any proposed advertising schedule. (Some publication deadlines are noted below.) It is essential that the form be completed in its entirety.

PROCESS

Please allow up to seven days for this entire process.

  1. The completed PERS 932 form with appropriate signatures is to be sent to Human Resources, 207 Hovey Hall (Campus Box 1311). Please transmit ad text electronically to to expedite ad placement.
  2. Human Resources will collaborate with O.D.A.A. in reviewing for meeting affirmative action guidelines and diverse advertisement objectives.
  3. Human Resources will notify the requesting department of O.D.A.A. approval and notice to proceed for local advertisements as well as automatically placing the ad in the national publication(s) indicated on the PERS 932, the Illinois State University employment Web site and HigherEdJobs.com Web page.

AD PLACEMENT & PUBLICATION DEADLINES

Under no circumstances should any advertising occur until the above process has been followed and final approval has been granted. The recruitment fund will not be responsible for any ad placed prior to approval by the Office of the Provost. Generally, the placement of ads is handled as noted below.

  • Recruitment Account funds will cover the cost of an Ad in ONE of certain national publications (Black Issues in Higher Education, Chronicle of Higher Education, Chronicle of Philanthropy, Hispanic Outlook) provided the position meets one of the following criteria:
  1. A full time tenure-track faculty position that has previously been approved through the Budget Hearing Authorization process conducted by the Office of the Provost, or
  2. A full time continuing Administrative Professional position funded by general revenue dollars. 

IF the position does not meet the criteria mentioned above, or IF AN ADDITIONAL AD is requested, Human Resources will provide an ESTIMATE of the Ad in ONE of the national publications mentioned above. The cost of the AD will however be paid for by the hiring department.

When planning your seven-day advertising schedule, please keep in mind, Thursday noon is the newspaper deadline for the upcoming Sunday issue. Questions relative to the placement of ads should be directed to Nancy Spangler in Human Resources at (309) 438-8418.

WRITING THE AD

ATTACH TO THE PERS 932 FORM THE AD COPY THE WAY YOU WOULD LIKE IT TO APPEAR, (SUBJECT TO EDITING). The following information must be included in the ad. Please check each item to ensure that your ad includes all required information.



Header - "Illinois State University, Normal/Bloomington"
Required minimum qualifications for the position. (min. education, experience, certifications, licenses, etc.)
Preferred qualifications (optional)
Date position available
Brief description of responsibilities
Initial date applications will be reviewed [example: "Initial Review of Applications will begin on (date) and continue until the position is filled. To assure full consideration, please apply by that date".]
List information to be submitted by applicant (resume, letters of recommendation, cover letter, etc.)
Name, title, address where information is to be submitted
Salary optional. Salary range can be noted, if preferred and if within the range of the position level as verified by Academic Personnel. The statement "Salary will be commensurate with qualifications and experience" is recommended.
