Filling an Extra Help Position

The Civil Service System authorizes Illinois State University to create Extra Help positions to provide for smooth functioning of University offices during extremely busy or transitional periods. Extra Help employment consists of either part-time or full-time employment, on a temporary basis. Civil Service examinations are not required for employment in Extra Help positions. The employee must, however, possess the skills and abilities required to perform effectively in the position. Current and former faculty, staff, or students may be eligible for Extra Help employment. Graduate Assistants are not eligible for Extra Help employment.

To fill an Extra Help position, work with your dean, director, or staff administrator to gain approval and funding for the position.

Extra Help employees must be compensated at an hourly rate, commensurate with established rates for positions of comparable responsibilities and skills. The number of hours worked must be reported on a time card and submitted to the Payroll Office, Mail Code 0580, twice a month. The Payroll Office will begin distributing time cards to the employing department after the employee's appointment has been entered into the computer system. All departments receive blank time cards each pay period which may be used until the employee begins to receive a time card. Contact the Payroll Office at 438-7677, for detailed instructions on time cards.

Extra Help employment is subject to Civil Service rules as well as University policy. Extra Help employment is limited to a maximum 900 hours. Upon working 900 hours, an Extra Help employee cannot resume employment in any Extra Help appointment for at least 30 calendar days. An Extra Help position may be utilized for a maximum of 900 consecutive hours within 12 calendar months. Upon reaching the maximum hours, the position cannot be reestablished for at least six months.

Extra Help employees are not eligible for employer-provided benefits such as vacation, sick leave, and holiday pay. Extra Help employees are eligible for overtime at a rate of 1.5 times the rate of pay if more than 7.5 hours are worked in a one day or if more than 37.5 hours are worked in one week.
